Join our team as Port Operations Planning Admin where you will assist the Port Operations Admin Coordinator with the proformas process and open communication with clients, sub-agents, and different internal areas of the business, maintaining updated data for business decision makings. While working on this role, you will support the Billing and Operations Team. Based on Barcelona, you will ensure an excellent service and for our internal and external clients.
ABOUT THE JOB
- Collaborate with PO Admin Coordinator for gathering all the needed information and create the Proforma for the assigned countries/ports.
- Assist in maintain clients aware on any updates on the Proformas, as well as variations that may have happened during the call.
- Support Billing Team to resolve inconsistencies and errors between supplier invoices and our internal operational reporting. Support liaison with Billing on client's inquires on Disbursement Account invoices.
- Assist on the communication channel with Sub-Agents updating billing instructions and procedures; agreed rates and prices. As well as support solving any incidences happening during the season.
- Assist in ensuring that Sub-Agents' contracts are properly signed, and IT incidents are solved (e-mail addresses).
- Assist with the Solport Platform: always maintain open communication, updates needed, incidences, reports, crew movement files, etc.
- Assist with the confirmation on CTM (Cash to Master) invoices.
- Support Billing with/when a calendar of discounts that Cruise Lines could benefit from and at which ports.
- Participate in system testing, user acceptance testing, and validation of implemented solutions.
- Assist in different projects, providing support to local teams, reviewing and analyzing required data.
ABOUT YOU
- Preferred previous experience in the tourism business.
- Good academic background & knowledge in the ship industry are desirable.
- Excellent communication skills in English language, both written and oral. Spanish language is a plus.
- Analytical, Interpersonal and Administrative skills. Orientation to results and customer obsessed.
- Good office administration and organizational skills with a keen eye for attention to detail.
- Technical proficiency: Proficient in Microsoft Office programs (Word, Excel, PowerPoint, etc.) and other relevant software tools and IT systems.
- Ability to work in a fast-paced and autonomous environment (remote/home office)
