As a Supply & Vacation Planning Specialist EASA within TUI Airline, you will support crew supply planning through accurate data management, analytical insight, and planning system inputs. A central element of the role is maintaining accurate and complete crew supply data within the crew supply database, ensuring that information is consolidated, consistent, and reliable.
The role supports effective planning by ensuring that crew availability, part-time arrangements, contractual conditions, and other supply-related inputs are accurately reflected and maintained.
In parallel, you will manage and optimise the leave planning and allocation process for Pilots and Cabin Crew, ensuring compliance with company policies, labor regulations, and contractual agreements, while providing timely and clear communication to crew members.
You will collaborate with various departments to ensure seamless coordination and efficient leave management.
The role is particularly suited to someone who enjoys bringing structure to complex planning data and processes, and who is motivated by improving the quality and reliability of operational data.
We are happy to consider this opportunity on a hybrid working model basis in line with local office attendance requirements and travel (mainly) across our European TUI Head Office locations should be expected occassionally.

ABOUT THE JOB
As Supply & Vacation Planning Specialist EASA your duties will include (but not be limited to):
- Maintain, update, and ensure the accuracy, integration, and security of the crew supply database ensuring it is up-to-date and reflective of current operational needs including changes such as leavers and part‑time adjustments
- Perform regular data quality checks, audits, and analyses of historical crew supply and leave trends to support accurate planning and remain informed of industry best practice to aid continuous improvement
- Produce and interpret routine reports on leave usage, crew availability, and planning patterns to highlight improvement opportunities
- Act as the primary contact for crew leave requests, coordinating annual leave submissions and providing clear, timely communication on approvals or adjustments
- Use planning tools to allocate annual leave, roster pre‑assigned activities, and manage part‑time schedules in line with operational needs, policies, and labor regulations
- Resolve leave‑related conflicts and support emergency leave situations through close collaboration with crew, HR, Operations, Crew Scheduling, and social teams
- Maintain departmental documentation, support audits, process improvements, and reconciliation of discrepancies related to crew leave
- Interpret legal and company scheduling/vacation agreements, recommending improvements that enhance leave utilisation and support business and union discussions
ABOUT YOU
- Analytical skills to assess historical crew supply and leave data, identify trends, and generate meaningful insights and reports
- Experience with maintaining crew databases, ensuring data accuracy, and conducting data quality checks or audits
- High attention to detail to ensure accurate data entry, validation, and consistency across planning data
- Proficiency in using planning tools, leave management software, and data-based tools (e.g. spreadsheets) to support planning activities
- Strong organisational and multitasking skills, with the ability to manage multiple leave requests and operational requirements simultaneously
- Knowledge of labor regulations, company policies, and contractual agreements related to leave planning
- Problem-solving skills to address conflicts and find suitable solutions for leave-related issues
- Ability to stay informed about industry best practices and technological advancements related to leave management
- Excellent communication and interpersonal skills, with the ability to interact effectively with crew members, management, and other departments
